Event security: what should you consider?

Take a breath... The biggest bustle of the past festival period full of festivals, markets, fairs and other public events is behind us. For the event organizers, this period of rest is short-lived, because they now have to start organizing the events for next year. And there's more to it than most people know! Think of finding a good location, arranging permits, renting tents, organizing the entertainment, marketing the event and much more. 

An element that sometimes receives less attention, but which is of course also very important, is guaranteeing the safety of your visitors. As an organizer of a festival or event, what should you actually think about in terms of safety? In this article we help you on your way.

The importance of a safety plan 

Various calamities can occur during an event. Think of small matters, such as congestion at the parking spaces or entrance. But there are also greater risks, such as fire, violent visitors, visitors becoming unwell and much more. 

Whatever event you are organizing, it is always wise to have one establish a safety plan. For events that are regarded as 'risky', submitting such a plan is even mandatory in order to obtain a permit. 

As an organizer you put in a safety plan all measures you take to ensure public order, health and safety during your event. You also indicate which incidents could occur and how you intend to prevent or combat them.

1. What kind of event is it?

Provide a description of the event. Give next to one general description of the nature of the event also the location, the start and end date of the event, the start and end date of the construction and dismantling, the number of expected visitors/participants and peak times. Also indicate what kind of audience you expect and provide a map of the location where the event will take place. 

2. What is arranged in the medical/health field?

Indicate what you arrange for guests who become unwell or require first aid, to assist. In any case, indicate which first aid organization you have called in, how many first aiders are available during the day, how many first aid stations there are and how they are located at the location. Also consider accessibility for ambulance personnel. Finally, describe what has been arranged in terms of sanitation and drinking water facilities, as well as how waste disposal will be handled during the event. 

3. What about fire safety?

Describe what you have arranged to fire hazard to counteract. Describe the facilities available at the event location, such as fire extinguishers, fire hydrants and fire pits. Check whether the location is accessible to the fire brigade. In addition, indicate whether and where there are emergency exits, how escape routes are indicated and whether the materials you use (for example for setting up stands) are made of fire-safe material.

4. Is there a security plan?

For many events it is wise to professional security guards to enable. Indicate which organization you are using for this, how many security guards you are deploying and in what way. Also indicate what you arrange in terms of crowd management: what is the signage like at the location, and how is the inflow and outflow of visitors arranged? Also consider the use of fences and barriers and obstacle-free routes.
